The Senior Leadership Support Assistant provides essential administrative support to Belgium’s leadership and organization, ensuring the smooth execution of responsibilities across various functions. This role primarily supports administrative tasks related to the Works Council and the Health & Safety Committee, as well as a range of various other administrative and supportive tasks. The successful candidate will be tri-lingual, highly organized, proactive, and adept at managing multiple tasks in a fast-paced, dynamic environment to help maintain organizational efficiency. The work is done primarily at the office, located in the heart of Brussels, with some flexibility to work at home. This role reports directly to the Country Director.
Responsibilities & activities include (non-exhaustive):
- Document Preparation and Filing: prepare, format, and organize reports, presentations, and other documents. Maintain an organized online filing system (Google Drive) for easy access to critical documents.
- Works Council Support: various administrative tasks related to the Works Council and Health & Safety Committee, such as sending invitations, checking and translating meeting minutes, sending letters,...
- Diary and Calendar Management: maintain and manage calendars, scheduling appointments, meetings, making travel arrangements and providing travel itineraries.
- Meeting Support: assist in planning and preparing meetings by coordinating agendas, taking notes, and following up on action items. Ensure all logistical arrangements are in place for smooth execution.
- Organization of virtual or physical workshops and internal or external events (eg. team buildings, restaurant reservations,...)
- Administrative Support: process expense reports, prepare slide decks and agendas, incoming/outgoing mail,...
- Translations: produce or correct translations in NL/FR/ENG.
- Confidentiality and Discretion: handle sensitive and confidential information with the utmost integrity and confidentiality.
- Various other supportive and administrative tasks.
Skills and Qualifications:
- Proven experience in an administrative role, ideally supporting senior management.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills in NL/FR/ENG.
- Proficient in office software (e.g., Word, Excel, Powerpoint, Google Drive).
- Experience with or interest in HR related topics (eg. Works Council related).
- Ability to prioritize tasks effectively in a fast-paced environment.
- Discreet, trustworthy, and capable of maintaining confidentiality.
- Proactive, detail-oriented, and able to work autonomously as well as part of a team.
- Willingness to work mostly from the office.
